Privacy Policy
Last updated: April 8, 2025
1. Introduction
NeuroAgent ("we," "our," or "us") is committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our multi-agent decision intelligence platform.
2. Information We Collect
We collect information that you provide directly to us, including:
- Account information — name, email address, company name, and password when you register.
- Session content — the prompts, questions, and context you submit to the AI council.
- Usage data — pages visited, features used, timestamps, and session durations.
- Device information — IP address, browser type, operating system, and referring URLs.
- Communications — emails and messages you send to our support team.
- Form submissions and campaign attribution — contact, demo, newsletter, playbook, and Decision Sprint submissions are stored in our database. We may save the entry page, referring domain, and campaign tags with a submission or account so we can understand its source. We do not save arbitrary URL query strings for this tracking.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the NeuroAgent platform.
- Process AI deliberation sessions and deliver results to you.
- Send transactional emails, product updates, and security alerts.
- Monitor and analyze usage to improve performance and features.
- Detect, prevent, and address security issues or abuse.
- Comply with legal obligations.
4. Data Sharing and Disclosure
We do not sell your personal data. We may share your information with:
- Service providers — trusted third-party vendors who assist in operating our platform (hosting, analytics, email delivery).
- AI model providers — session content is processed by OpenAI's API to power multi-agent deliberations. OpenAI's privacy policy applies to this processing.
- Legal requirements — if required by law, court order, or governmental authority.
- Business transfers — in connection with a merger, acquisition, or sale of assets, with appropriate notice to you.
5. Data Retention
We retain your account data for as long as your account is active. Session transcripts and AI-generated reports are retained for 12 months by default and may be deleted at any time from your account settings. You may request full account deletion by contacting privacy@neuroagent.io.
6. Cookies and Tracking
Essential cookies support sign-in and essential preferences. Optional Google Analytics and first-party website analytics start only after you allow analytics. Advertising storage, Google advertising personalization, and social-network advertising pixels are not enabled. You can accept or reject optional tracking and reopen Cookie settings in the footer at any time. Choices expire after 180 days; a changed tracking policy requires a new choice. Essential cookies cannot be disabled because the platform needs them to function.
Withdrawing analytics consent stops future optional tracking and clears the site's stored campaign identifiers and matching tracking cookies. It does not delete existing account, lead or signup records. Data-access and deletion requests are handled separately under your privacy rights.
After you explicitly allow analytics, we store a pseudonymous identifier in your browser for up to 180 days to recognize returning visits. Visits are separated after 30 minutes of inactivity. This identifier contains no names, email addresses, decision briefs, or advertising identifiers. It is removed from your browser when you withdraw analytics consent. We also use a short-lived attribution cookie and may link consented visit context to a brief-start event or an account when you sign up or sign in. Clearing browser data, using another device, or identifier expiration can make a returning visitor appear new. Historical visits cannot be reliably reclassified. Declining analytics does not prevent form submissions or account creation.
7. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your personal data ("right to be forgotten").
- Object to or restrict certain processing activities.
- Export your data in a portable format.
- Withdraw consent at any time where processing is based on consent.
To exercise these rights, contact us at privacy@neuroagent.io.
8. Security
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, regular security audits, and role-based access controls. No method of transmission over the internet is 100% secure, but we take every reasonable precaution to protect your data.
9. Children's Privacy
NeuroAgent is not directed at children under the age of 16. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal data, we will promptly delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated "last updated" date and, where appropriate, by email notification. Your continued use of the platform after changes take effect constitutes acceptance of the revised policy.
